Pay a lower marginal rate as your property portfolio grows

Billable properties are counted at calendar month end. Occupied, vacant and normally archived properties remain billable; only properties permanently archived before month end are excluded. Each band applies only to the properties within it, workspace users are unlimited and prices exclude VAT.

Only the properties inside a band use that band’s rate

The first 25 billable properties are £2.50 each. The next 25 are £2.25 each, followed by £0.25 reductions until the marginal rate reaches £1 for properties above 150.

How the calculation works

Adding a property always increases the bill

Renew and Comply uses marginal progressive pricing, not a whole-portfolio rate. Moving into a lower band never reprices the properties already counted in earlier bands.

This is not whole-portfolio band pricing. Reaching 151 properties does not make all 151 properties £1 each; only property 151 and each additional property use the £1 rate.

Month-end safeguards

A closed invoice remains historically accurate

  • Properties are counted at calendar month end.
  • Properties created after month end are excluded from the closed month.
  • Occupied, vacant and normally archived properties remain billable.
  • Properties permanently archived before month end are excluded from that month’s count.
  • Properties permanently archived after month end remain in the already closed snapshot.
  • Permanently archived properties require platform administrator approval before reactivation.
  • Only one billing run is permitted for each company and month.
  • Property count, pricing, add-ons, VAT and discounts are stored with the invoice.
  • Closed invoices are not changed by later pricing edits.

Frequently asked questions

Are the rates progressive?

Yes. Each rate applies only to properties falling within that band. The first 25 are charged at £2.50 each, the next 25 at £2.25 each, and so on. The £1 rate applies only to properties above 150.

Can adding a property ever reduce the monthly bill?

No. Because the bands are marginal rather than whole-portfolio bands, each additional billable property adds its applicable band rate to the total. For example, 150 properties cost £281.25 ex VAT and 151 properties cost £282.25 ex VAT.

Which properties are billable?

Occupied, vacant and normally archived properties are included in the month-end count. A property is excluded only when it was permanently archived before month end. Reactivating a permanently archived property requires platform administrator approval, and later changes do not rewrite a closed invoice.

Can a customer have a different price?

Yes. Customer-specific flat rates, custom progressive bands, minimum charges, no minimum and individual add-on prices are supported.

Do later price changes alter old invoices?

No. Closed invoices retain their stored property count, band calculations, VAT, add-ons and discounts.
