1. Service
These terms are between Digitav Ltd trading as Renew and Comply and the business customer using the service. Digitav Ltd is registered in England and Wales under company number 07752721. Renew and Comply provides a hosted multi-company property platform for property, person, tenancy, compliance, maintenance, contractor, finance, key, deposit, document, audit, reporting and billing records. Functionality may depend on configuration, permissions and subscribed add-ons.
2. Company accounts and users
Each customer is responsible for accurate account information, authorised company administrators and users, permission settings and credential security. Workspace users are included under the published property-based pricing model unless a written agreement states otherwise.
3. Charges and month-end billing
Published prices are in £and exclude VAT unless stated otherwise. Billable properties are counted at calendar month end and progressive pricing applies by band. Minimum charges, add-ons, discounts and customer-specific overrides may apply. A closed invoice stores its property count and pricing snapshot and is not changed by later price edits.
4. Property count rules
Properties created after the relevant month end are excluded from that closed month. Occupied, vacant and normally archived properties remain billable. Only properties permanently archived before month end are excluded; permanent archive after month end does not alter the already closed snapshot. Reactivation of a permanently archived property requires platform administrator approval. Only one closed billing run is permitted for each company and month.
5. Customer data and responsibilities
The customer is responsible for the legality, accuracy, permissions, notices, retention and use of data entered into its workspace. Customers must not upload unlawful, infringing, malicious or unauthorised material and must configure access appropriately for sensitive tenant, key, financial and compliance information.
6. Compliance responsibility
Renew and Comply helps customers record requirements, certificates, dates, evidence and renewal status. It does not determine every legal obligation, guarantee that a property is compliant or replace competent legal, safety, property or professional advice. The customer remains responsible for identifying and meeting its obligations.
7. Acceptable use
The service must not be used for unlawful activity, fraud, spam, harassment, malware, unauthorised surveillance, security attacks, rights infringement or attempts to disrupt or gain unauthorised access to systems or another company’s data.
8. Third-party services
Some functions may depend on hosting, email, payment, DNS or other external providers. Their terms, fees, limits and availability may apply. Renew and Comply is not responsible for failures outside its reasonable control.
9. Availability, maintenance and support
Renew and Comply takes reasonable steps to operate, maintain and secure the service but does not guarantee uninterrupted or error-free availability. Maintenance, security work and provider incidents may occasionally affect access. Support is provided on a reasonable-efforts basis.
10. Intellectual property
Renew and Comply and its licensors retain rights in the platform, source code, templates, tools, design and service operation. Customers retain rights in their lawful content and grant the permissions needed to host and process it for the service.
11. Suspension and termination
Access may be restricted, suspended or terminated for unpaid charges, fraud, unlawful use, material breach, security risk or risk to other users or the service. Customers should export required data before access ends. Data access and retention after cancellation depend on the applicable agreement, legal requirements and technical availability.
12. Liability
Nothing excludes liability that cannot legally be excluded. To the fullest extent permitted by law, Renew and Comply is not responsible for indirect or consequential losses, lost profit or issues caused by customer configuration, inaccurate records, missed professional review, unauthorised use or third-party services. Any specific liability cap should be confirmed in the applicable written agreement.
13. Changes, law and contact
Terms may be updated with reasonable notice where changes materially affect active customers. These terms are governed by the laws of England and Wales. Questions should be sent to info@renewandcomply.com.
