1. Who we are
Renew and Comply is responsible for the personal data described in this notice. Questions can be sent to info@renewandcomply.com.
2. Information we collect
We may collect contact and company details, account and user information, enquiries, billing and subscription records, service activity, technical logs, cookie preferences and support information. The hosted service may also process property, landlord, tenant, applicant, tenancy, compliance, maintenance, contractor, finance, key, deposit, document and audit data entered by customer companies.
3. How we use information
We use information to respond to enquiries, create and administer accounts, provide and secure the service, calculate and process property-based subscriptions, support authorised users, prevent misuse, maintain records and improve the platform.
4. Lawful bases
Depending on the activity, processing may be necessary for a contract, compliance with a legal obligation, legitimate interests in operating and securing the service, or consent for optional analytics and marketing.
5. Sharing and processors
Information may be shared with hosting, infrastructure, email, payment, analytics, professional-advice and support providers where required to operate the service. We do not sell personal data. Information may also be disclosed where required by law.
6. Customer company data
A customer company normally decides what property, tenant, employee, contractor and other information it enters into its workspace and is responsible for the relevant notices, lawful basis, accuracy, access and retention decisions. Renew and Comply processes that information to provide, maintain, secure and support the service under the applicable agreement.
7. Company isolation and authorised access
The platform is designed to separate customer-company data and validate cross-company relationships. Users and administrators must still configure permissions carefully and use only authorised data exports.
8. Retention
Information is kept only for as long as required for the relevant service, account, billing, support, security, legal or accounting purpose. Retention periods can vary by record type and agreement.
9. Cookies and analytics
Essential cookies may be used for security, sessions and saved preferences. Optional analytics should load only after the visitor provides consent through the website controls.
10. Your rights and contact
UK data protection law may give you rights to access, correct, erase, restrict or object to processing and to receive certain data in a portable format. Contact info@renewandcomply.com. You may also complain to the Information Commissioner’s Office.
11. Security and changes
Renew and Comply uses reasonable technical and organisational measures intended to protect information, including company separation, permissions and private storage support. No internet service can guarantee absolute security. This notice may be updated as the service or legal requirements change.
